Shared Inbox vs Enquiry Management Software: What Is the Difference?

A practical comparison of shared inbox software and B2B enquiry management software, including where the two overlap and when teams may use both.

Shared inbox software and enquiry management software can look similar because both deal with incoming work, assignment and team visibility. The difference is usually the object each system is built around.

A shared inbox is centered on communication

A shared inbox gives several people access to the same mailbox or messaging channel. Depending on the product, it may also include conversation assignment, internal notes, collision detection, templates and reporting. For teams whose main problem is coordinating replies, that may be enough.

Enquiry management is centered on the commercial request

An enquiry management system keeps the business request open as an operational record. The team may need to record quotation status, wait several days, follow up again, hand the enquiry to another person and eventually record an outcome. The message thread is important, but it is not the whole workflow.

A simple example

A customer sends an RFQ to a shared sales inbox. The team replies asking for one missing specification. Two days later the customer responds. A quotation is then prepared in another system and sent. The commercial team wants a follow-up next week. A shared inbox can manage the communication. Enquiry management keeps the owner, quote status, next follow-up and outcome together around the customer request.

When a shared inbox may be enough

  • Most work is resolved directly inside the conversation.
  • Conversation assignment already gives the team enough ownership visibility.
  • There is little need for quotation status or longer follow-up cycles.
  • The team does not need a separate enquiry-level outcome record.

When a separate enquiry workflow may help

  • The enquiry remains open after the email reply is sent.
  • A quotation or proposal is created in another system.
  • Several people contribute before the enquiry closes.
  • Managers need due, overdue or unassigned views across enquiries.
