CRM vs Spreadsheet vs Enquiry Management Software

A plain-language comparison of CRM, spreadsheet tracking and a dedicated B2B enquiry management workflow, including where teams may use more than one.

CRM, spreadsheets and enquiry management software can all track commercial information. The more useful comparison is not which tool is better in general. It is which job each tool is expected to do in your process.

Spreadsheet: flexible and easy to start

A spreadsheet can hold almost any status, owner, date or note you want. For a small team with a simple process, that flexibility may be exactly what is needed. The tradeoff is that the team is responsible for keeping every row current and building its own views for due or overdue work.

CRM: broader customer and pipeline management

CRM capabilities vary significantly by product. Many businesses use a CRM for customer records, deals, pipeline stages, forecasting and relationship history. Some CRMs can also handle enquiry assignment and follow-up very well, especially when configured for that workflow.

Enquiry management: narrower operational focus

A dedicated enquiry workflow puts the incoming request at the center. The main questions are whether it has an owner, whether the response has been handled, what happens next and whether the enquiry has a recorded outcome.

A practical fit check

  • Spreadsheet: useful when volume is manageable and manual updating is not a burden.
  • CRM: useful when the broader customer relationship and sales pipeline need one system of record.
  • Enquiry management: useful when incoming RFQs, quotation requests and follow-ups need a more explicit operating workflow.

The tools are not mutually exclusive

A business can keep its CRM, keep its email platform and still use a focused workflow around incoming enquiries. It can also decide that the CRM already does enough and skip another product entirely. The right answer depends on where the current process becomes hard to maintain.

Linker is designed around that middle layer rather than claiming to replace every sales tool.
